Guidance Notes for Duty Officers

lt is the responsibility of the OoD to arrange to collect the Club keys and a cash float from the Rear Commodore. If you are unable to collect them at the club on the previous Wednesday, you must make alternative arrangements before the Saturday of the duty.

Be prepared to turn off the alarm on arrival each morning, although his will normally already have been done by the Rangers.

The galley must either be closed and locked or be attended by a responsible adult at all times during the duty.

If the Duty Officers are short-handed, it is perfectly acceptable to close the galley while the races are being run, or at other times when they are required elsewhere. There is no requirement to keep the galley open for the non-sailors, nor should they expect it to be kept open.

For security reasons, please try to keep the side door locked as much as possible, so that access to the changing rooms is only via the main room and is therefore more noticeable.

The OoD will provide lunches (sandwiches, etc.) for purchase by Club Members and guests between the first and second races on Sundays. Food will not be provided on Saturdays unless there is an Open Meeting.

The costs incurred in providing the food will be refunded.

All that is required is the simplest of food - preferably with something hot (like a bowl of soup) during the colder months. If you want to do something more elaborate than soup and sandwiches, please feel free to do so, but don't feel pressured into it and don't complain if others keep it simple!

Margarine, cheese and tins of ham, tuna and baked beans are always available for use from the Club stocks kept in the galley.

The prices charged for any food are at the OoD’s discretion, but the aim should be to produce a small profit. Duty Officers may have teas and Coffees free of charge during their duty, but all other refreshments must be paid for.

Ensure that you observe good standards of hygiene while preparing and serving food. If you have recently suffered from any food-borne illness, you must not handle any food at the Club until at least 48 hours from the time that all symptoms have ceased. If necessary, arrange for somebody else to carry out your food-handling duties.

When serving food, hot drinks, etc., priority should be given to those persons who are actually taking part in the sailing.

The law requires that no persons under the age of 18 years shall serve, purchase, provide or consume intoxicating liquor either on or off the Club premises. Duty Officers may, at their discretion, ban any person from the galley. In particular, unaccompanied juniors are not allowed in the galley at any time.

Persons who are not Club members, or their guests, are not allowed to purchase any item from the galley at any time.

The galley must not be used to stow sailing gear, clothing, etc..

Keep the galley clean and tidy at all times and especially ensure that you leave it as you would wish to find it. If you do not clean it, the next OoD will have to!

Remember to fill in the OoD Book, the Club's Logbook, with all relevant details at the end of your duty It is important that any accident details or race protests are noted and that a simple financial account of the weekends business is completed. Any expenses incurred by the OoDs should be reimbursed before cashing up.

Before leaving, consult the Check List displayed in the galley. Instructions for setting the alarm are given in the front of the OoD Book.

Return the club keys, OoD Book and cash to the Rear Commodore by Monday evening at the latest but preferably on your way home on Sunday.
